How to send email via primary and alias email addresses

Overview

If you hold multiple roles across various campuses, each role will be associated with a distinct email address that routes into one email account. Consequently, you may have email addresses such as @unk.edu, @unl.edu, @unomaha.edu, and/or @nebraska.edu. Among these, one address is designated as your Primary Email Address, determined by your primary campus affiliation and role. This primary campus email address serves as the default sending address for all outgoing emails, while the other addresses linked to your account are referred to as aliases.

To check your primary campus and the available aliases assigned to your identity, please use TrueYou Self Service. Sign in using your NUID and TrueYou password. Your primary campus is determined by your HR roles, and if you need to update it, employees can reach out to their HR team to start that process. Students should reach out to the registrar of their primary campus and be aware that primary campus changes will occur if enrollment changes are made.

Warning 

There are known issues associated with setting up an alias as well as expected policy behaviors that will affect available aliases. Please read these before enabling "send from an alias" in your account. 

  • Refrain from using the 'Send as Alias' feature when corresponding with a Mailman list unless the address has been explicitly added as a sending address on the list.
  • The 'Send as Alias' feature should not be utilized when opening a ticket with the Help Center, only the primary campus email address.
  • An alias will drop off when a role ends (i.e. @lopers.unk.edu student alias will drop off 2 years after graduating / stopping classes). 
  • Custom aliases will not be created.

Send from an Alias in Outlook

The steps below are to send email from any assigned alias in Microsoft Outlook for faculty, students, and staff that have multiple email aliases assigned to their Outlook email account. The default send from address is always the primary email address.  These instructions apply to both Outlook for Windows and Outlook for MAC.

  1. Sign in to https://portal.office.com with your TrueYou credentials.
  2. In the upper right corner, click on the settings icon. 
  3. Select Mail and then Compose and reply.
  4. Scroll to Addresses to send from
    1. NOTE: If you do not see this section, skip below to Troubleshooting steps.
  5. Check the box for each alias that should appear in the From drop-down menu. 
    1. NOTE: Never select an alias that includes "onmicrosoft.com"
  6. Some time may be required to sync across your desktop and mobile app.
  7. In Outlook to send an email from an alias, create a new email. 
  8. Click the From field drop-down. 
  9. Select the alias address you want to use

Troubleshooting Steps

If you do not see the Addresses to send from section in the web-version of Outlook, try these steps for the desktop New Outlook application instead. 

  1. In the New Outlook desktop application, create a new email. 
  2. If the From field is not displayed, repeat steps 2-9 from above.

If you do not see the Addresses to send from section in the web-version of Outlook, try these steps for the desktop Outlook (classic) application instead. 

  1. In the Outlook (classic) desktop application, create a new email. 
  2. If the From field is not displayed, select the Options tab. 
  3. Look for the Show Field section, which may be under the More Commands or 3-dot menu. 
  4. Select the From field then repeat steps 5-9.
