Replacing OneDrive Links in Canvas

Background/Overview

In the Rich Content Editor, there are several ways to share a file from OneDrive or SharePoint. Follow the directions below to update your link based on how you created it:

Update Links using MS 365 App Plug-In

1. In the Rich Content Editor within Canvas click the App icon (looks like a plug) then View All (if necessary) and select Microsoft Office 365.  

2. Log in with your MS365 credentials.

 
3. In OneDrive, select the files you want to link to by check the box next to it and click Attach file.

4. Save the item in Canvas when completed. This method will both create the link and set the permissions in the same process without having to leave Canvas.

Update links using the Canvas Modules - External Tool - Office 365

You are unable to update a link you created by adding it to the module. You will have to delete the items from the Module and start over. 

1. Navigate to the Modules in your Canvas course and locate the Module to which you'd like to add a document link. Click Add (plus sign). 

2. In the Add Item window, choose External Tool from the drop-down menu (1). Scroll down and choose Office 365 from the list of LTI tools available (2).

3. Navigate through your OneDrive library and choose the file you wish to shared. Click the Attach File button. If you wish to have the file open in a new tab, check the Load in a new tab checkbox.

4. Click Add Item.

5. The file is added to the bottom of the Module. Files added this way are not automatically published, so you will need to publish it before students can view it.

Update links using Copy/Paste link from SharePoint/OneDrive

1. In Canvas, navigate to a link that needs to be replaced.

2. Click ONCE on an existing hyperlink to open the Link Options button.

3. Click Link Options. A side window will open allowing you to edit the Text shown on the page as a hyperlink and the Link itself.

4. Navigate to your OneDrive file library and locate the desired file. Click on the three dots to the right of that document and click Copy Link. This will automatically copy the existing access link. However, in order to share the document correctly with students, you will need to click the Settings button to change the link permissions.

5. Choose the Anyone link sharing setting. Click Apply. The link is automatically copied.

6. Go back to your Canvas page, delete the existing link and paste the new link into the Link box. Click Done.

7. Click Save in your Canvas course when you are finished editing.
