Request Forms for Microsoft 365

Overview/Background

Request forms for Microsoft 365 are currently being moved to TDX. This article will explain the different forms and the progress of moving them and how to use them.

Form Approvals

Forms created in TDX may require approval from either a Faculty/Staff sponsor if the submitter is a student or the MS365 team. These approvals will be handled within TDX. Approvals are largely to ensure the resource is needed and the provided information is accurate and can be completed as requested.

Microsoft 365 - Shared Resource Request - Form

The new Microsoft 365 - Shared Resource Request - Form is able to handle all of the following shared resources, many of them provisioned and permissions applied automatically via data entered in the form. If custom permissions are needed the remaining tasks will be handled by the Microsoft 365 team.

  • Shared Mailboxes - Provisioned automatically following approval
  • Shared Calendars - Provisioned automatically following approval
  • Room Calendars - Provisioned automatically following approval
  • Equipment Calendars - Provisioned automatically following approval
  • Distribution Lists - Provisioned automatically following approval
  • MailMan Lists - Creates Ticket, list created manually

**Grouper Permissions for Shared Resources**

Many areas are moving to grouper groups for permissions to shared resources, if your grouper group already has an email address tied to it in NEAD you can enter the address into the form and it will provision permissions to that group.

Microsoft 365 - Shared Storage - Form

The new Microsoft 365 - Shared Storage - Form is able to handle both regular and secure SharePoint site requests. These sites will be provisioned automatically with security settings applied based on form entries following approvals.

**SharePoint Permissions**

The form is able to set the following permissions

  • Site Owners (Full Control):
    • Access: Full control over site settings, content, permissions, and appearance.
    • Capabilities: Can add/remove members, change permissions, delete the entire site, create subsites and new document libraries.
    • Note: Owner permissions generally cannot be customized or revoked.
  • Site Members (Edit/Contribute):
    • Access: Can add, edit, and delete content within the site.
    • Capabilities: Generally, they can edit and contribute to lists, libraries, and pages, but cannot change top-level site settings.
    • Note: By default, this group has the "Contribute" permission level.

**Grouper Permissions for Shared Storage**

Many areas are moving to grouper groups for permissions to SharePoint sites, the form is not currently able to handle this task. Site owners will be able to add grouper groups following site provisioning.

Microsoft 365 - Mailbox and Calendar Permissions - Form (TDX Technician Access ONLY)

This new Microsoft 365 - Mailbox and Calendar Permissions - Form is able to check permissions on current shared resources. When filling out this form, TDX technicians will be able to enter up to 3 Shared Resources such as Shared Mailboxes, Shared Calendars, Room Calendars, or Equipment Calendars and submit the form. Following form submission a process will run which will input back into the ticket the permission levels for the resources requested and any special booking options if they exist.

These tickets will send a notification email to the requestor and auto resolve if the process is successful.

NU ITS Licensing Request

The NU ITS Licensing Request form currently serves as the primary place to request additional Microsoft licensing for your account or for users within your dept. This form is not yet scheduled for migration to TDX.

Teams Request (Students)

The Teams Request is able to provision a Teams instance and assign an owner to the team. This form has an approval that is sent to the Microsoft 365 team.

This form was used heavily during the FRCCW project to allow Team creation to persist during migration efforts. Following the FRCCW project for the Microsoft 365 platform this form was adjusted to be used for students to request Microsoft Teams. Faculty and Staff can create teams from with in the Team application. 

Thunderbird Request Form

The Thunderbird request form allows for individuals who fill out the form to be able to use the Thunderbird email client. Following a change by Microsoft to limit legacy exchange connections a process needed to be developed to allow the Thunderbird client to work. Thunderbird FAQ 

Google Workspace Request

The Google Workspace Request form allows individuals who have a legitimate business or teaching / learning need to use an official Google Workspace account to request an account. These licenses come at a cost. This form is not yet scheduled for migration to TDX.

Microsoft 365 Add-In Request

The Microsoft 365 Add-In Request form allows individuals to select from already approved Microsoft 365 add-ins to have them deployed to their account automatically or to request a new add-in be provisioned to their account. This form is not yet scheduled for migration to TDX.

Other Forms

There are other forms managed by the Microsoft 365 team within JotForm which may be moved to TDX as well. We will work with those groups once we have our forms moved over.
