Impact of Future Ready Cloud Collaboration changes on Bookings

Background/Overview

MS Bookings data will not migrate as part of the Future Ready Cloud Collaboration project so personal and shared Booking pages and bookings that were created prior to migration will both need to be rebuilt. If you currently use MS Bookings, here are some steps you can take before and after you migrate.

Pre-Migration

1. Turn off your personal booking page - As part of the migration, your calendar location will change, so if your old Bookings site is still active and people use it to create a booking, it will not show on your new calendar.

1. Go to http://office.microsoft.com and log in with your campus M365 login and password.

2. Click on the App launcher (waffle) in the upper left corner and choose Bookings. If you don't see it in this list, click More apps and find it there.

3. Click the three dots to the right of the Personal booking page heading and choose Turn off your booking page.

1. Click on each Personal booking page to open the page.

2. Use a screen capture program to capture the options, or follow the steps below. You may need to scroll down and repeat the process to capture all of the options.

  • PC: Press Print Screen on your keyboard and select the area you wish to copy to your clipboard.
  • MacOS: Press Shift + Command + 4  on your keyboard and select the area you wish to copy to your clipboard.

3. Open a Word document and paste in the screenshots. 

4. Save the document in your OneDrive so that it will migrate. 

3. Create duplicate Bookings entries - Since calendar entries made via Bookings will not migrate, it is suggested that you create a duplicate entry on your calendar for those appointments so you will not lose them.

4. Remove any links to your old Bookings pages in your email signatures or any other places you might have them.

Post-migration

1. Recreate your Personal booking page(s):

1. Go to http://office.microsoft.com and log in with your NUID@nebraska.edu username and TrueYou password.

2. Click on the App Launcher (waffle) in the upper left corner and choose Bookings. If you don't see it in this list, click More apps and find it there.

3. Click Create meeting type.

4. Complete the fields according to your previous options.

5. Click Save.

2. Replace links to Bookings in your email signature.

Once you have set up your new Bookings page(s), you should update your email signature or other places where you have made the link available.

1. Click the three dots to the right of the Personal booking page heading and choose Email signature settings.

2. Make sure to select your Outlook Web Signature and check the box beside Include a link to my bookings page in my signature.

3. Click Save.

4. Your signature will now include the new link to your Bookings page. Note: It will take a while for your Outlook Web Signature to sync to your web mail and Outlook desktop client, so it might not appear right away.

3. Replace any other links you may have created. 

Click the three dots and choose Copy

1. Click the three dots in the upper right corner of the tile for your booking page and click Copy.

2. Paste your new link wherever you need to replace an outdated link.
