The University of Nebraska is starting a new project to consolidate Office 365 tenants, email addresses, for UNK, UNL, UNO, and the Office of the President (UNOP). The project will result in a single user experience for our campuses and allow you to better manage and leverage the Microsoft service offerings.   

This document lists some common questions about this collaboration. 


General

Q: What is the purpose of this project?

A: This is a University of Nebraska System initiative to unify Microsoft 365 and Active Directory environments across three of our four campuses (UNK, UNL, UNO, and the Office of the President) into a single platform. UNMC is not in scope at this time. It includes the migration of 166,000 active accounts and over four petabytes of data to streamline collaboration, improve security, and position the University for future innovation.

Q:  What is Microsoft 365 (MS365):

A: Microsoft 365 is a cloud-powered productivity platform designed to help you achieve more with innovative apps, intelligent cloud services, and world-class security. With Microsoft 365, you get access to the latest productivity apps such as Microsoft Teams, Word, Excel, PowerPoint, Outlook, and OneDrive.

Q: Who all will be impacted by this project?

A: All users on all campuses, and all computers that are connected to a UNL, UNOMAHA or UNK domain.

Q:  How does this impact me as an employee or student at the University of Nebraska? 

A:  You will see two main impacts.

  1. You will now use your new TrueYou Username (NUID@nebraska.edu) to log into your campus desktop, all Microsoft 365 applications and other campus services. 
  2. Your existing cloud-based data (OneDrive, SharePoint, Teams, OneNote, etc.) will be migrated to a new common tenant. Since the location of your data is changing, any links to that data that you have created and/or shared will need to be recreated/shared. 

Q:  When will my account be migrating?

A:  You will receive email messages notifying you of your migration day (which begins at 6pm that day) and will continue overnight until 5am. Your computer will need to be powered on AND on campus connected to the network, OR connected to Global Protect VPN by 5:30 on the evening of your planned migration.

Q: How will I know that my account is migrating?

A:  You will receive several communications before your scheduled migration time informing you when it will take place and any steps you need to take ahead of time. You will also receive communications after your migration has taken place with any additional steps or information you need to know afterward. A high level migration schedule will be made available when it has been finalized.

TrueYou Username

Q: What is a TrueYou Username?

A:  Your TrueYou Username is a unique way of identifying each person affiliated with the University (staff, faculty, students, alumni, applicants, volunteers?) and the data that is associated with you. This TrueYou Username will be used to log into your campus desktop, and other campus services such as MS Office 365 online, OneDrive, SharePoint, Canvas, PeopleSoft, Firefly and any other system that is fronted by TrueYou. 

Q:  Since my TrueYou Username looks like an email address, can it be used to send and receive email? 

A;  Your TrueYou Username is not the same as your email address. You will use your username to log into your campus desktop and other campus services and you will use your current email address to send and receive email.

Email

Q:  Will my email address be changing?

A:  No, the email address that you use to send and receive email will not be changing.

Q:  How will I access my emails after the migration?

A:  After your migration, you will still access your email the same way, however, you will need to log into your email service using your TrueYou Username (NUID@nebraska.edu) and TrueYou password instead of using your email address as you did previously.

Q:  Will I lose any emails or data during the migration?

A:  All of your emails and data in your OneDrive and SharePoint sites will be migrated to a new location.

Q: Will my existing calendar events be affected?

A:  Existing calendar events should not be impacted.

Q:  Will I need to update by email settings on my mobile clients?

A:  You will need to log into your email app with your TrueYou Username (NUID@nebraska.edu) and your TrueYou password. You should be prompted to log in once you access your email application.

Q:  How will this affect external clients who regularly email me?

A:  Since your email address is not changing, this should not impact receiving emails from external clients.

Q:  How will this affect email groups that I am part of?

A:  Email groups will not be affected.

Account Migration 

Q:  How long will the migration process take and what do I need to do? 

A:  The steps that you will need to take beforehand depend on your operating system and if your machine is on campus or off campus: 

  • Off Campus - Windows - This process is not fully configured and tested. If you cannot deliver your Windows workstation to campus for the night of migration due to your hybrid or remote schedule, notify the team by responding to this email. You will be notified of the new migration date once the solution is ready for testing
  • On Campus - Windows - Leave your workstation plugged in and powered on when you leave. If you are unable to accommodate this based on your hybrid work schedule, notify the team by responding to this email. You will be notified of the new migration date once the solution is ready for testing.
  • MacOS (on or off campus) - Leave your workstation plugged in and powered on overnight. If you are remote, you will need an internet connection to complete the process in the morning but are not required to be connected to the VPN.

The migration process will be automated to happen overnight and should take 2-4 hours. During that time your machine will need to restart several times, so it is recommended that you leave your machine on and it will be updated and ready by morning.  

Q: What steps do I need to take after my account has been migrated? 

A: After your account has been migrated, you will need to perform a few steps to get everything resynched to your new account ID (link to instructions)

 

Q: If I have multiple desktop machines, does each machine have to be migrated? What if I have one machine on campus and one off-campus or in multiple locations? 

A: Yes? 

Q: My co-worker’s TrueYou Username is different from mine. Why is that? 

A: Since there is a large amount of people that need to have their accounts migrated, the change is being rolled out in waves. So it is possible that others in your department or campus could be migrated at a different time from you. Depending on who has been migrated and who has not, you may see different TrueYou Usernames until everyone has been migrated.

Data Migration

Q:  Will there be any impact on shared files or folders in OneDrive and SharePoint?  

A: Since your files and folders have been migrated to a new location, any links you previously created and/or shared with others will need to be recreated and/or reshared. Before you migrate, it may be helpful to generate a report listing the documents you have shared to make it easier to reshared them after you migrate.

Additionally, since links you create when you share a document contain the UPN of both the creator and the recipient, if both haven’t been migrated, any newly-created links may also break when both are migrated. 

Q:  Will this change how I login to office 365 applications? 

A:  Yes. You will now login to Office 365 applications with your UPN (NUID@nebraska.edu) and your TrueYou password. 

Q:  Will my current office 365 settings and customizations transfer over with the migration? 

A:  Yes. Your settings and customizations will not be impacted by the migration. 

Q:  Are there any steps that I should take before my data is migrated? 

A:  There are no steps that you need to take beforehand. However, since links to documents you have shared from your OneDrive will need to be recreated, you can create a report listing the documents that you have shared

Q:  What do I need to do after my data is migrated? 

A:  There are a few steps to take after your data is migrated. (link to instructions). 

Q:  My data isn’t all there the day after it was supposed to be migrated. Did it get lost? 

A:  If you have a large amount of data, it could take a while to get it all migrated. The migration process starts with the newest files first and then goes back from there. 

Q:  Will I need to remap any shared network drives or printers? 

A:  All shared network drives and printers that you have mapped prior to your migration will be remapped for you automatically.
